All eleven candidates for Council and two candidates for Mayor have been invited to take part.

The first meeting will be held Friday, November 4, 2011 from 7 to 9 pm in the Garry Oak Room at the Monterey Recreation Centre, 1442 Monterey Avenue.

The second meeting will be held Tuesday, November 8 from 7 to 9 pm in the Sanctuary at the Emmanuel Baptist Church, 2121 Cedar Hill Cross Road.

Doors open at both events at 6:40 p. m.

The moderator will be Mr. Jamie Chicanot a partner in ADR Education.

These meetings are sponsored by the Community Association of Oak Bay and the North Henderson Residents’ Association.

I am pleased to be acting as a facilitator for the upcoming All Candidate Meetings which you have been invited to participate in, and I have been working with Tom Croft, President of the Community Association of Oak Bay; Mike Wilmut, President of the North Henderson Residents’ Association; and Keith McCallion, Moderator for the two forums. Keith is a long-time resident of Oak Bay and prior to his retirement served the Greater Victoria School District as a Principal at several district schools. I have a similar background as a former district Principal and Associate Superintendent.

We invite you to communicate the attached rules on your websites. Should you have questions, please do not hesitate to seek clarification from me. I realize that it will assist you to have some idea of what to expect on November 4 and 8, so I am providing some additional details for you.

·   Media will be informed about these meetings and will be given access to the meeting rooms. You may also receive questions or requests for interviews.

·   Candidates will be seated alphabetically and name placards will be provided.

·   At this time we are not sure what P.A. services will be provided but it is our intention to have a microphone for the Moderator and a few microphones for candidates to share.

·   Depending on room dynamics, we are hoping to use roving microphones during the question period and if so, these will be controlled by Keith McCallion and me. Failing that, we will have two stationary microphones set up.

·   as indicated in the Rules, candidate names will be drawn by the Moderator at 6:45 p.m. in order to determine the order of presentations (see the schedule below). You or a representative are invited to join Keith McCallion at the speakers’ table for this, but your presence is not required.

·   Keith intends to ask the audience to refrain from applause or other shows of support for individual candidates. It is our desire that the short amount of time will be maximized so that your ideas and beliefs can be highlighted.

·   Please ensure that you respect the rule that election materials be kept outside of the meeting rooms.

·   We aim to begin promptly at 7:00 p.m. and therefore the following timelines will be adhered to:

6:30 p.m.  Doors open

6:45 p.m.  Random draw of candidate names by Moderator

6:55 p.m.  Candidates and audience are seated

7:00 p.m.  Following a brief welcome, Moderator is introduced and describes Rules as well as expectations for the audience.

9:00 p.m.  Close
